Booking terms and conditions
By registering for InWest’s career days, you agree to our booking terms and conditions. The booking terms and conditions are as follows:
1. Registration & confirmation
- You can find the registration form here.
- Confirmation of your registration will be sent to you no later than one month before the exhibition date, to the email address you provided in your registration.
- Invoices will be issued within one month of the exhibition date.
- The deadline for registration is 21 days before the exhibition date.
2. Terms of payment
- Payment must be made within 30 days of receipt of the invoice.
- Interest on late payments will be charged.
3. Cancellation
- Cancellation is possible free of charge up to one month before the exhibition date.
- Registration is binding from one month prior to the exhibition date. If you cancel less than one month before the exhibition date, your company remains liable for payment, even if you do not attend. The full fee will be charged.
- Exceptions to charges for non-attendance may be made in cases such as illness or force majeure. This is subject to agreement with the InWest project manager.
4. Stands and equipment
- The stand includes a reserved stand space, a table and access to power sockets.
- If your company requires additional space, for example for your own equipment or technology, this must be notified to InWest’s project manager no later than one month before the exhibition date. If your company has not notified us that you require additional space and you do require it on the day, a fee will be charged.
- As a company, you are responsible for the material you bring to the trade fair.
- The assembly, setting up and dismantling of the stand must take place on the day of the exhibition. Companies will have access to the stand from 7.30 am on the day of the exhibition, and dismantling must be completed by 6.00 pm on the day of the exhibition.
- Check-in must be completed before the kick-off meeting at 8.30 am on the day of the fair. Check-out and the return of any borrowed materials must be completed by 6.00 pm on the day of the fair.
5. Marketing & use of the logo
- Organisers and any partners are entitled to use exhibiting companies’ names and logos for marketing purposes.
- Exhibiting companies are responsible for submitting their logo and any presentation materials well in advance of the trade fair.
6. Liability & insurance
- Organisers are not liable for lost or damaged property
- Exhibiting companies are responsible for their own insurance
7. On-site guidelines
- Conduct should be in accordance with the University’s core values, policies and other governing documents.
- Communication and materials must be consistent with the University’s core values, policies and other governing documents.
- Students and other exhibitors must be treated with respect, and in accordance with the University’s core values, policies and other governing documents.
8. In the event of a trade fair being cancelled
- In the event of cancellation, the invoice will be voided and 80% of the participation fee will be refunded to all registered companies.
9. Personal data (GDPR)
- The organisers process personal data in accordance with the GDPR.
- All information provided in connection with the report will be treated with the utmost confidentiality.
